WordRake to Sponsor the Cheryl Stephens Innovation Award at PLAIN

WordRake Holdings, LLC, maker of WordRake professional editing software is sponsoring Plain Language Association International (PLAIN)’s Cheryl Stephens Innovation Award. Dedicated to simplicity and brevity in writing, WordRake is excited to partner with PLAIN to celebrate innovators in plain language.

With this partnership, WordRake deepens its connection to the plain language community. In October 2022, WordRake introduced Simplicity mode to help writers comply with plain language mandates and make their work more accessible to readers. WordRake Founder Gary Kinder had always believed in the importance of plain language and adding this functionality brought a long-term goal for the software to fruition.

WordRake and PLAIN: Partnering to Recognize Plain Language Innovators

Plain Language Association International (PLAIN) is a non-profit devoted to the promotion of plain language usage around the world. Co-founded by Cheryl Stephens in 1993, PLAIN’s membership includes professionals from more than 30 different countries, representing 15 languages.

PLAIN debuted the Cheryl Stephens Innovation Award in 2019 to recognize individuals and organizations in plain language. Honoring the Association’s founder, the award is given every second year for advancements in plain language in technology, advocacy, research, and professional development. Previous award winners include Professor Katherine McManus and Simon Fraser University for their development of a Plain Language Certificate program, and the Plain Language Academies for their creation of an online plain language education program.

The Cheryl Stephens Innovation Award is given at PLAIN’s biannual conference. This year, the conference takes place September 27-29 in Buenos Aires, Argentina. Nominations for the award are requested by June 26, 2023.

Having collaborated with WordRake in the past as a guest expert on plain language, Cheryl recommended the partnership herself. “Language evolves and so must plain language,” she explained. “With this award, we honor those who have the wit and courage to try something new.”

PLAIN, in turn, is looking forward to highlighting a leading tech tool for plain language editing. “WordRake’s dedication to plain language is undeniable, and we are thrilled to have them as a partner,” shared PLAIN President Joanna Richardson. “Keeping ahead of advances in plain language technology has always been a prerogative of our co-founder Cheryl Stephens and this partnership will reinforce that heritage.”

Who is WordRake

WordRake is a software company based in Seattle, Washington, which creates editing add-ins for Microsoft Word and Outlook. Launched in 2012, WordRake offers over 35,000 editing suggestions to improve clarity, brevity, and simplicity. With the addition of Simplicity mode in 2022, WordRake is dedicated to clarity in written communication. In celebration of Plain Language Day on October 13, 2023, WordRake will once again share interviews featuring a diverse selection of plain language and writing professionals.

PLAIN e-journal: Call for contributions

The call for contributions closed on 9 June. Thank you for all the submissions.

The issue will be published September/October 2023.


Have you ever heard the phrase “Teamwork makes the dream work”? To some of us, plain language is already a reality, but for others it’s still a dream. And in order to turn that dream into an everyday tool and civil right, we need to find and work with teammates to help us grow this global movement.

The next issue of PLAIN’s e-journal will focus on collaboration.

We are looking for contributions from colleagues around the world who have perspectives to share on working with others in the plain language field. Articles could cover any aspect of this, such as:

  • essential collaborations in plain language work
  • unlikely/surprising collaborations in plain language work
  • opportunities for collaboration in plain language work
  • how to nurture a collaborative working environment for plain language projects
  • how to find collaborators
  • case studies of projects that relied on collaboration.

We also welcome ideas for interviews with experts and book reviews that are relevant to this topic.

Articles should be short pieces of 800 to 1,000 words. They are all published in English, although we prefer to include a second version in the author’s own language where that is not English.

We aim to include a broad range of perspectives on this topic across different regions, industries, and practices. You do not have to be a member to contribute to the e-journal, but members’ submissions will be prioritized.

Kate is Head of Communications at trans-Tasman sustainability firm thinkstep-anz. She leads a team of plain English experts who ‘translate’ the company’s technical sustainability work into plain English executive summaries, case studies, and blogs that clients can understand and act on.

Kate’s background is in corporate communications, stakeholder engagement, and change management. She has worked in many industries including aviation, transport, energy, financial services, and education.

Kate was fortunate to stumble on the website of the Plain English Campaign (UK) early in her career. She says that ‘once you’ve seen these techniques you can’t unsee them!’

Tatiana Mes

Principal Marketing and Communications Manager, Consumer Wealth, Mercer (N.Z.) Limited

Tatiana is a passionate leader of the Consumer Wealth Marketing team at Mercer. Together with her team, she delivers marketing and communications strategies to create better lives for her customers, clients and colleagues. 

She is responsible for overseeing all member communications, online experience, campaign development, social media, conference management, designing marketing collateral and other brand awareness and lead generation activities. 

Tatiana’s key focus and passion is about ensuring customers receive a great experience in our KiwiSaver, Mercer Super Trust and other superannuation offerings, while getting ‘financially lit’.

  • Use the submission form from Observatorio (follow link above)
  • Submit by April 20, 2023.
  • Accepted proposals will be notified by May 19, 2023.
  • Your submission must include:
    • contact details,
    • title of the presentation,
    • language of the presentation,
    • a 400-word abstract (not including bibliographical references) in size 12 font and, simple-spaced format,
    • five descriptors or keywords, listed in lower case and separated by short hyphens.
  • Topics welcome include:
    • research or experiences related to plain language in various fields;
    • the use of plain language having measurable impacts on areas such as consumer experience, legal design, legal language, youth, gender, bank contracts, environment, public administration, and health, among others; and
    • academic research on the uses, applications, and impacts of plain language on public administration or the private sector.

New PLAIN Ambassador in Brazil

We’d like to welcome Claudia Mont’Alvão as our association’s first Brazilian PLAIN Ambassador.

Claudia was born and raised in Rio de Janeiro, Brazil. She got her degree in Industrial Design, but since her Ph.D., she has been involved in studies about information.

She dedicated the last two decades to studying Human Factors/ Ergonomics focusing on information’s accessibility and comprehensibility, considering primarily pictograms and warnings. In 2018 she started her studies in Plain Language and Information Design and joined PLAIN shortly after.

She supervised the first Plain Language academic study in a Graduate Program in Design in Brazil. This Master’s dissertation researched the impact of writing style on the comprehensibility of digital public services, presented by Heloisa Fischer, a PLAIN member.

What is a PLAIN ambassador?
To ensure that PLAIN is truly international, we are looking for individuals to support our strategic goals at the regional level around the world. Specifically:

  • to foster and support local/regional plain language initiatives
  • to increase engagement, insight and action within regional networks.

An ambassador will provide a localized perspective to international discussions within PLAIN. At the same time, they will promote the principles of plain language in their region or language and be a contact for people interested in joining PLAIN. An ambassador is action-oriented, fosters positive personal relationships, connects people, and listens to conversations throughout the field.

Changes to the PLAIN Board: Warm welcomes and fond farewells

We are thrilled to welcome two new members to our Board of Directors who bring a diverse background and past experience at PLAIN.
Joanna Richardson was elected as the new President of PLAIN at the AGM on November 22, 2022. She takes over from Margrethe Kvarenes, who has steered the association since 2018.
Joanna is based in Argentina and is an ideal choice to represent PLAIN in 2023, as our bi-annual conference is taking place in Buenos Aires this year. For nearly 2 decades, Joanna taught plain English at Argentina’s leading law firm. She now works freelance training professionals worldwide in clear communications skills. A long standing member of both Clarity and PLAIN, Joanna served on the board of PLAIN from 2012-2018, first in Communications and for her last year of service as President of PLAIN. She also serves on the Observatorio de Lenguaje Claro de la Facultad de Derecho.

Torunn Reksten will serve as Vice President. She is a plain language expert at the Language Council of Norway. As a plain language advocate, lecturer, editor and author since 2008, she has played a central part in building plain language awareness and competence. This initiative has set a new standard for public communication in Norway. Torunn represents the Norwegian standardization body to ISO 24995—Plain Language and serves on the Drafting Committee of ISO Working Group 11 for the standard. Torunn is passionate about innovation, service design and good user experience.

We say farewell and sincere thanks to Margrethe Kvarenes and Hannah Sapunor-Davis. As President, Margrethe has made considerable progress in expanding PLAIN’s reach beyond the English speaking world.
Hannah has served as Communications Director since 2019 and played a crucial role in modernizing PLAIN’s communications and shaping the role and the communication division.

PLAIN’s Conference is going to Argentina in 2023!

We are delighted to announce that PLAIN’s 2023 conference will be in Argentina on 27 – 29 September in collaboration with the Observatorio de Lenguaje Claro (OBS) of the Law School At the National University at Buenos Aires.

The conference builds on the OBS’ success in consolidating plain language knowledge from various fields into effective communication policies.

PLAIN is hiring: Managing editor for PLAIN’s e-journal

PLAIN is growing and we are looking for a managing editor to help us shape, edit and publish PLAIN’s e-journal, which is one of our major assets for members. The journal is published twice a year.

This is a freelance position that will work independently but in coordination with PLAIN’s different committees. Are you interested in working for PLAIN? Read on to learn about the support we need.

As a Managing Editor, you will:

  • Work with the PLAIN to set direction for the publication and future issues.
  • Contribute content ideas and contact potential contributors as appropriate. May occasionally contribute original work to the publication.
  • Manage production of each issue from beginning to end, ensuring that timelines are met.
  • Ensure articles are relevant to the theme of each issue and collaborate with contributors to ensure their work meets editorial standards and practices.
  • Directly edit each issue, liaising with contributors, incorporating feedback and edits, and then liaising with the graphic designer.
  • Other duties and projects as assigned.

Your concrete tasks will include:

1. Producing the e-journal

a. proposing topics for issues to the PLAIN board members and
collecting feedback
b. writing and posting calls for submissions
c. managing publications inbox
d. commissioning articles from authors as needed
e. receiving proposals and responding to them
f. substantive/developmental editing and working with authors (first
round of editing)
g. copy-editing with house style (second round of editing)
coordinating final proofreading (third round of editing)
h. coordinating foreword with PLAIN president
i. writing introduction to journal
j. coordinating layout/timeline with designer
k. coordinating publishing with PLAIN comms committee (website,
email to members)

2. Internal communication

a. managing all timelines
b. updating style guide and contributor guide as needed
c. managing files in Dropbox

3. Sponsor work

a. reaching out to potential sponsors
b. coordinating sponsor/ad files
c. cooperation with PLAIN’s treasurer to collect sponsor contributions

As our managing editor, you will work in a remote environment with people from around the world.

Qualifications

Qualified candidates must have

  • Bachelor’s degree or equivalent experience and three years of relevant experience.
  • Demonstrated experience working in plain language.
  • Strong written communication skills in English.
  • Ability to work a minimum of 25 hours per issue, including sponsor outreach.
  • Ability to invoice PLAIN.

We are looking for people who have:

  • Ability to work creatively and independently as well as part of a team, including taking creative feedback from other members of the PLAIN board.
  • Connection to the plain language community.
  • Knowledge of other languages.
  • Proficiency with cloud storage software, authoring and co-editing software, and team collaboration apps such as Slack.
  • Professional email etiquette (clear, friendly, helpful)
  • Ability to meet timelines.
  • Ability to work remotely.
  • Ability to work with people from various cultures and backgrounds.

Working Conditions

May be required to work occasional evenings and weekends.
This is a one-year term appointment with the potential for renewal.

The pay rate is USD 25-30 per hour, depending on experience.
